How Should I Respond to a Request for Additional Keys?
Whether by phone or email, the concierge should acknowledge the request. Please keep in mind that we only provide two sets of keys upon arrival, as is normal practice around the world. As soon as you receive the request, you should do the following checks:
- Check RMS to see how many keys were provided; if not discovered in RMS, notify your manager. At the time of arrival, this should be updated in RMS.
- If you discover that two keys were given, inquire the requester about why they require more keys; they may have misplaced the keys or be requesting for another occupant. We must always verify the inventory because the unit comes with two sets as normal, and further requests may be accommodated at an additional fee.
- Parking remote: We only supply one remote per parking space; however, guests may request extras if they are exchanging remotes and desire to avoid doing so. Please explain that if there are two people utilizing the parking, they should get another parking space to be able to get another parking remote.
We should not add a request in Flexkeeping without the above checks and always add your findings in your request.
